How to write an experienced Job Application Email

Applying for a job is often a long and strenuous process. A critical element of the same is job application email as it will act as the first impression. The email should reflect your professionalism and encourage the employer to evaluate your application.

In order to make the process of writing a job application simpler, we have detailed a step-by-step guide to write a perfect email for a job application.

Step 1: Do your research

Before you begin writing the job application email, find the right contact in the company to who you would be sending the email, for example- the name and email ID of the hiring manager. Finding the right contact can be a deal maker or breaker. It decides whether your application is considered further or gets lost in hundreds of emails that the organization receives on the general email IDs.

Step 2: Write a professional subject line

Hiring managers receive numerous job applications on a daily basis. A professional subject line will not only encourage them to open the email but also simplify the process of finding the email again in their inbox if they want to revisit it.

Keep the subject line crisp and include the word “application” in it. Include your name, job title, vacancy ID code (if any) in the subject line. For example- Nora Albasim, Job Application: Sales Manager (37572). You can also make a brief pitch about yourself using the subject line. For example - Application: Nora Albasim, Experienced sales manager (5+ years of work ex), vacancy 37572.

Step 3: Salutation

Try to address your email to a specific person (For example- Dear Rashid) instead of a generic salutation. This is where your research will come into play. Sometimes you will be able to find the name and email address of the relevant person by exploring their website or portal where the job was listed. In case you are not able to find the name of the person, you can write a generic salutation, for example, Dear Hiring Manager.

Step 4: The First Paragraph

Begin the first paragraph of your job application email by telling the recipient which role you are applying for, where you saw the posting, and the date on which it was posted. In case you were referred for the position by someone in the organization, mention that in the first paragraph.

Step 5: The Middle Paragraph

In this paragraph, market yourself in the best way possible. Try to answer questions like Why you are the right fit for the position? How does the job align with your long-term career goals?

Highlight your accomplishments and relevant past experiences that would give you an edge over other candidates.

Step 6: Final Paragraph 

In the final paragraph, thank the reader for considering your job application and mention that the resume and other documents are attached in the email.

Step 7: Close and Email Signature

Close the email with polite salutations like Regards, Best, Sincerely, etc. It is also a good idea to include an email signature that has your contact information and LinkedIn Profile URL.

Subject: Nora Albasim, Application: Sales Manager (37572)

Dear Rashid,

I was exploring the Jobs section on your website in the first week of May and saw an opening for a Sales Manager in the Dubai Office. The set of responsibilities mentioned in the job description closely matches my past experiences and skill set, hence I decided to submit my application for the role.

I have been working in the sales domain for the past 5 years. In my last company, I was responsible for establishing sales objectives by forecasting and developing annual sales quotas for various regions, hiring and training sales executives, and implementing company-wide sales training programs. I was also awarded the high achievers certificate by the sales director for closing the biggest account for that year.

I have attached my resume for your reference. If given an opportunity to work with you, I will leave no stone unturned to put in my best efforts. Thank you for your consideration.

I recently came across a job listing for Software Engineer in your Abu Dhabi office on the Naukri Gulf Website. I went through the job description and I find the nature of the work very exciting.

I recently graduated from Ajman University with a bachelor’s in computer science. I have also completed two internships as a Software engineer intern while pursuing my graduation. Now I am looking to apply my skills and hone them further by working in Al Reyami Technologies.
