We are seeking a dedicated and experienced Executive Assistant (EA) to provide comprehensive administrative support to the Chairman of our organization. The ideal candidate will be proactive, detail-oriented, and capable of managing a wide range of administrative tasks with discretion and efficiency. This role requires a high degree of professionalism and the ability to handle sensitive information confidentially.
*Responsibilities:*
1. *Calendar Management:* Coordinate the Chairman's schedule, including meetings, appointments, and travel arrangements. Anticipate scheduling conflicts and proactively manage adjustments as needed.
2. *Communication Liaison:* Manage incoming communications (phone calls, emails, letters) and respond on behalf of the Chairman when appropriate. Ensure timely and accurate communication with internal and external stakeholders.
3. *Documentation and Reporting:* Prepare and edit correspondence, reports, presentations, and other documents as required. Maintain organized filing systems, both physical and digital, to ensure efficient document management.
4. *Meeting Coordination:* Arrange logistics for meetings, conferences, and events attended or hosted by the Chairman. Prepare meeting materials, agendas, and minutes as necessary.
5. *Travel Arrangements:* Coordinate domestic and international travel arrangements, including flight bookings, accommodation, visas, and itineraries. Provide travel support and assistance during trips as needed.
6. *Expense Management:* Track expenses, prepare expense reports, and ensure timely submission and reimbursement processes.
7. *Special Projects:* Assist with special projects and initiatives as assigned by the Chairman, including research, data analysis, and maintaining his personal assest Maintance & presentation preparation.
8. *Confidentiality:* Handle confidential information with discretion and maintain confidentiality at all times.
