Front Desk & Reception Duties:
- Greet and welcome clients and visitors in a professional manner.
- Manage all incoming phone calls, emails, and walk-in inquiries.
- Maintain a clean and organized reception area.
- Coordinate meeting room bookings and assist in organizing internal meetings.
- Handle courier services, deliveries, and mail distribution.
- Ensure a positive client experience at the front office.
Sales Admin Assistance:
- Assist the Sales Administration team in preparing sales and lease contracts, listing forms, MOU agreements, and other real estate documentation.
- Upload and update property listings on company CRM, portals, and internal systems.
- Coordinate with agents for required documentation and follow-ups.
- Track the status of listings, contracts, and client submissions for accuracy and completeness.
- Support in filing, record-keeping, and maintaining contract templates and client files.
- Assist in preparing marketing materials, brochures, and presentations when needed.
Administrative Support:
- Maintain office supplies inventory and place orders as necessary.
- Liaise with facility management and IT support for basic office maintenance needs.
- Coordinate with HR/admin team for employee onboarding and visitor access when needed.
