Greet and assist visitors, clients, and suppliers in a professional manner.
Answer and direct incoming phone calls, take messages, and respond to general inquiries.
Handle incoming and outgoing correspondence (emails, letters, couriers).
Visitor & Access Management
Maintain visitor logbook and issue visitor passes.
Coordinate with security for entry of clients, vendors, and delivery personnel.
Administrative Support
Manage front desk operations and ensure a tidy reception area.
Assist with scheduling appointments, meetings, and conference calls.
Support HR and Admin teams with filing, document control, and staff records.
Document & Record Handling
Receive and distribute incoming documents (delivery notes, invoices, material submittals).
Maintain filing systems for office correspondence and company records.
Coordination
Communicate with project, production, and commercial departments when visitors or deliveries arrive.
Assist in preparing reports, data entry, and ERP/office system updates as required.
Office Management
Monitor office supplies (stationery, pantry, consumables) and coordinate replenishment.
Customer & Employee Support
Provide basic information about company services and direct inquiries to the concerned department.
Assist employees with administrative requests related to forms, letters, and internal communications.
