The Manager – Operations is responsible for leading and overseeing the execution of all operational and project coordination activities from order initiation to final installation and closure. The role ensures that all projects are executed efficiently, within defined timelines, and in accordance with company quality standards. The position focuses heavily on execution monitoring, operational discipline, structured reporting, and performance metrics across measurement, scheduling, production coordination, and installation activities.
The Manager – Operations will supervise the coordinators and executives, ensure accurate documentation and reporting systems, monitor operational KPIs, and provide weekly operational performance updates to senior management.
Key Responsibilities:
Operations Planning & Execution Control
Oversee the end-to-end execution of all projects from order confirmation to installation completion.
Monitor operational workflow across measurement, scheduling, production coordination, logistics, and installation.
Ensure projects are executed within committed timelines and quality standards.
Establish clear execution schedules and monitor adherence across all operational teams.
Identify execution risks, delays, or bottlenecks and implement corrective actions immediately.
Ensure smooth coordination between coordinators, production teams, logistics teams, and site installation teams.
Team Supervision & Performance Management
Lead and manage coordinators, project executives, and operational support staff.
Ensure tasks are clearly assigned, monitored, and completed within defined timelines.
Conduct weekly operational review meetings with the team.
Monitor productivity and efficiency of the coordination team.
Provide guidance and support in resolving project or client-related operational issues.
Drive accountability and performance discipline across the operations team.
Project Monitoring & Progress Tracking:
Establish tracking systems for all active projects including
Measurement status
Production readiness
Material availability
Installation scheduling
Site progress
Project closure
Ensure real-time updates are maintained in operational registers and project tracking tools.
Closely monitor installations to ensure completion within planned timelines.
Ensure all project stages are documented and tracked accurately.
Reporting & Management Updates
Prepare structured weekly operations reports for senior management covering:
Total active projects
New orders received during the week
Measurements completed vs pending
Installations completed during the week
Installations planned for next week
Delayed installations with reasons
Projects pending beyond timeline
Quality or rework cases
Client complaints or escalations
Operational bottlenecks requiring management intervention
Develop dashboards and operational metrics for better visibility.
Provide periodic operational performance analysis and improvement recommendations.
Documentation & Process Control
Ensure accurate documentation for all project stages including:
Measurement records
Installation registers
Completion acknowledgments
Client approvals
Operational reports
Maintain structured documentation systems to support audits, quality reviews, and management reporting.
Ensure coordinators maintain records accurately and consistently.
Quality & Operational Compliance
Ensure all installations and operational activities meet company quality standards.
Monitor adherence to safety practices and proper operational procedures at project sites.
Ensure housekeeping, proper site coordination, and installation discipline.
Address quality issues, rework cases, and customer complaints promptly.
Issue Resolution & Escalation Management
Proactively identify project delays, material shortages, scheduling conflicts, or site challenges.
Coordinate with production, procurement, and logistics teams to resolve issues.
Escalate critical operational risks to senior management with proposed solutions.
Ensure minimal disruption to project schedules and customer commitments.
Team Leadership & People Management
Build, lead and mentor a high-performing operations team including supervisors, managers, supervisors, technicians, installers.
Set clear performance expectations, provide coaching, training and development.
Drive a culture of accountability, continuous improvement, safety and quality.
Continuous Improvement & Process Optimization
Identify opportunities to improve operational efficiency and coordination processes.
Implement structured workflows for measurement scheduling, installation planning, and documentation.
Drive improvements in reporting systems and project tracking tools.
Recommend automation or process improvements where possible.
