Roles & Responsibilities
Responsibilities: Include but are not limited to
1. Reception duties - Greeting of Guest, answering board line calls, serving drinks for guests, etc.
2. Arranging letters / documents to be couriered
3. Scanning of documents for colleagues
4. Archiving/retrieving old documents from Infofort
5. Managing the stationary / office supplies
6. Distribution of postal mails to colleagues
7. Registration of Managers to different events such as FBC (French Business Council)
8. Booking of Meeting Rooms
9. Flight ticket / Hotel / Restaurants / Event reservations
10. Ordering business cards
11. EFT management - parking, building/office access cards, gate pass, etc.
12. Office maintenance/upkeep – arranging the fixing of lights, switches, air conditioning, planters, etc.
13. Renewal of 24x7 DCD Direct Alarm System Subscription
14. Contracts - IT, District cooling, Office cleaning, MEP & fire alarm, FBC, hotels, Aramex, Infofort, planters, etc.
Assisting HR
15. Medical insurance - addition & deletion
16. Group life insurance - addition & deletion
17. Update attendance and leave tracker
18. Immigration assistance for UAE (new visa application, visa cancellation, visa renewal, NOC, Salary Certificate, etc.)
19. Support HR on various topics
