Role Summary
The Paralegal Manager is responsible for overseeing and managing the paralegal function within the Legal Department, ensuring the efficient handling of corporate legal administrative matters, regulatory filings, documentation processes, and coordination with external authorities and law firms.
The role supports the Legal Project Affairs Manager in executing corporate governance and regulatory activities, including managing entity establishment, corporate registrations, licensing matters, and legal documentation processes. The position ensures that all legal registrations, documentation, renewals, and attestations are properly tracked, maintained, and compliant with applicable laws and internal governance requirements.
Key Responsibilities
1. Regulatory Registrations & Corporate Documentation
Manage preparation, filing, renewal, and tracking of key regulatory registrations including:
Commercial Registration (CR)
Commercial Cards (CC)
Establishment Cards
Trade Licenses (TL)
Monitor expiration dates and ensure timely renewals in compliance with regulatory deadlines.
Maintain organized and accurate records of all corporate registrations and licenses.
Coordinate submission of documentation with regulatory authorities and relevant government platforms.
2. Corporate Entity Establishment & Structuring
Manage and coordinate the establishment of new companies, branches, and legal entities across relevant jurisdictions.
Prepare and process documentation required for company incorporation and legal structuring.
Liaise with government authorities, regulators, and external service providers during entity establishment procedures.
Track and manage the full lifecycle of entity formation processes from initiation through completion.
Ensure compliance with all regulatory and corporate governance requirements during incorporation activities.
3. Legal Documentation & Authentication Processes
Coordinate preparation and processing of Powers of Attorney (POA) and corporate authorization documents.
Manage notarization, legalization, and attestation processes with relevant authorities.
Coordinate document certification procedures including Chamber of Commerce and embassy attestations where required.
Ensure accuracy, completeness, and proper formatting of legal documentation prior to submission.
4. Law Firm & External Counsel Coordination
Serve as the operational coordination point between the Legal Department and external law firms and legal service providers.
Facilitate document exchange, instructions, and follow-ups related to legal filings, regulatory processes, and corporate matters.
Track deliverables, timelines, and updates from external counsel.
Maintain proper documentation and records of all external legal engagements related to corporate and regulatory matters.
5. Regulatory Filing & Compliance Monitoring
Manage filing processes related to corporate legal matters with regulatory authorities.
Track regulatory obligations, submission deadlines, and compliance requirements.
Maintain internal registers for corporate documents, filings, and approvals.
Ensure adherence to corporate governance policies and legal documentation standards.
6. Legal Records & Documentation Management
Maintain structured legal entity files and corporate documentation records.
Develop and maintain tracking systems for:
Corporate registrations
Licenses and renewals
Regulatory filings
Notarized and attested documents
Corporate approvals
Ensure proper archiving and accessibility of legal records for internal reference, audits, and compliance purposes.
7. Legal Project Support
Support the Legal Project Affairs Manager in implementing legal and regulatory initiatives.
Assist in coordinating documentation and administrative requirements for legal projects.
Monitor the progress of assigned legal tasks and project milestones.
Ensure accurate documentation and tracking of project-related regulatory processes.
8. Stakeholder Coordination
Coordinate with internal departments, government authorities, external consultants, and law firms on legal documentation and regulatory matters.
Facilitate communication and follow-ups related to documentation requirements and approvals.
Support cross-functional collaboration on corporate governance and regulatory compliance matters.
