The Executive Assistant to the Hospital Director provides high-level administrative support to the Chief Executive Officer, ensuring efficient operation of the executive office. This role requires exceptional organizational skills, discretion, and the ability to manage multiple priorities in a fast-paced environment. The Executive Assistant acts as a trusted partner, handling confidential information, coordinating executive communications, and serving as a liaison between the Hospital Director and internal/external stakeholders.
Executive Support
• Manage the Hospital Director’s calendar, travel, and meeting logistics with accuracy and discretion.
• Draft, review, and manage correspondence, reports, presentations, and internal communications.
• Coordinate and prepare materials for executive and board meetings, including agendas, minutes, and follow-ups.
• Serve as a liaison between the internal/external stakeholders, ensuring timely and effective communication.
• Maintain confidentiality and handle sensitive information with the utmost professionalism.
KPI & Reporting
• Collaborate with business units to collect, consolidate, and analyze key performance indicators (KPIs).
• Prepare monthly, quarterly, and annual performance dashboards and reports for the Hospital Director and executive leadership.
• Monitor progress against strategic goals and highlight variances or areas requiring attention.
• Assist in the development of executive summaries, board packs, and business review presentations.
• Support the Hospital Director in data-driven decision-making by providing insights and recommendations based on performance metrics.
• Coordinate with Finance, HR, and Operations to ensure alignment of reporting and business objectives.
Strategic & Project Support
• Assist in tracking and managing strategic initiatives and special projects led by the Hospital Director.
• Follow up with stakeholders on project milestones, deliverables, and deadlines.
• Conduct research and prepare briefing materials to support executive meetings and external engagements.
• Support the Hospital Director in stakeholder engagement, including drafting speeches, talking points, and event materials.
• Maintain a high-level understanding of company priorities to anticipate needs and proactively manage tasks.
Administrative & Operational Excellence
• Maintain organized records, files, and documentation for the executive office.
• Coordinate logistics for internal and external events involving the Hospital Director.
• Support internal communication efforts, including announcements, and leadership messages.
• Continuously improve administrative processes to enhance efficiency and effectiveness.
