Administrative Support
- Manage and maintain executives' schedules, including arranging meetings, appointments, and travel itineraries.
- Prepare and edit correspondence, reports, presentations, and other documents as needed.
- Handle incoming and outgoing communications, including emails, phone calls, and mail.
Meeting Coordination
- Organize and coordinate meetings, conferences, and events, including preparing agendas, taking minutes, and following up on action items.
- Ensure meeting rooms are prepared with necessary materials and equipment.
Travel Arrangements
- Arrange and manage travel plans, including booking flights, accommodation, transportation, and preparing travel itineraries.
- Handle travel expense reports and reimbursements.
Documentation and Filing
- Maintain accurate and organized records, files, and databases.
- Ensure confidential and sensitive information is handled with the utmost discretion.
Communication
- Act as a liaison between the executives and internal/external stakeholders.
- Manage communication channels to ensure timely and effective information flow.
Project Assistance
- Assist in special projects and initiatives as directed by the executives.
- Conduct research and gather information to support decision-making processes.
Office Management
- Oversee office supplies inventory and place orders as needed.
- Ensure the office environment is well-maintained and organized.
