Job Title: Head of Operations Geographical Scope: Back Office (Dubai, Myanmar, Thailand)Investment Locations: (UK, Greece, Italy, Switzerland, Colombia)Department: Family Office Reports to: CEOKey Relationships:Internal: Management and coordination across all family office department.External: Coordinate with the majority of family office external service providers, regulatory authorities and advisors.Job Function:Responsible for managing and improving the day-to-day operations of the multi family office department.Ensure all regional operations are aligned with the management company’s long-term objectives.Based in Dubai with either monthly or quarterly travel to other back offices.Key Responsibilities:Oversee and manage the back office operations across Myanmar, Dubai, and Thailand, ensuring seamless execution of processes in each region.Collaborate closely with key stakeholders, including local advisors, service providers, and legal teams, ensuring that operations run smoothly and efficiently across all regions.Ensure that all back-office operations comply with the local regulatory requirements for as well as broader international standards and family office policies.Develop and implement systems and processes to improve operational efficiency and productivity in all regions, considering local regulatory and business environments.Ensure the accurate and timely preparation of all required reports reflecting the operations.Develop and maintain internal controls, operational procedures, and documentation for audits for each department.Identify, assess, and mitigate risks related to all back-office processes.Coordinate and manage all departments within the family office.Ensure the protection and confidentiality of sensitive family office information across regions.Experience:At least 10 years of relevant experience in back office operations and management.Skills:Strong understanding of back office operations and efficiency.Knowledge of governance frameworks, such as family councils, boards of advisors, and other decision-making structures.Exceptional organizational, problem-solving, and communication skills.Leadership abilities with experience in managing and developing teams.

Job Title: Executive Assistant Geographical Scope: Back Office (Dubai, Myanmar, Thailand) Department: Family OfficeReports to: CEOKey Relationships:Internal: Stakeholders , Family office team membersExternal: Service ProvidersJob Function:Provide high-level administrative support to the principal(s) of the family office and the ability to managecomplex schedules and multiple priorities in a fast-paced environment.Responsible for handling confidential matters and assisting with various personal and professional tasks as required by the family office.Flexibility to travel when required and work outside of regular business hours.Key Responsibilities:Maintain confidentiality and discretion in managing sensitive personal and business information.Provide comprehensive administrative and personal support to the primary stakeholders and their immediate family, relatives, and business partners.Organize and coordinate all travel arrangements, including private jet bookings, luxury transportation, accommodation, and itineraries.Manage all travel logistics and business trips for stakeholders.Manage complex calendars for the stakeholders, scheduling meetings, appointments, and events.Coordinate travel schedules to ensure minimal overlap and maximum efficiency.Liaise with luxury service providers, venues, and suppliers to meet the family’s needs for personal and business events.Prepare and organize documents, presentations, and reports for meetings with family members, business partners, and other stakeholders.Efficiently manage the CEO's email inbox, prioritize urgent messages, filter and organize emails, and draft timelyresponses when needed.Perform ad-hoc tasks and projects as requested by the stakeholders.Experience:Proven experience as an Executive Assistant or Personal Assistant, ideally in a high-net-worth environment or with luxury service providers.Previous experience in managing luxury services such as private jets, luxury travel, and exclusive events.Skills:Strong knowledge of calendar management tools, office software (Microsoft Office, etc.), and virtual communication platformsAbility to maintain confidentiality and manage sensitive information with discretion.Excellent communication skills, both written and verbal, with the ability to liaise with high-level individuals.Strong organizational skills, with the ability to manage multiple tasks and priorities in a fast-paced environment.Ability to work independently and as part of a team, with flexibility and adaptability to meet stakeholders’ needs.
