· Supervise the daily office operations, including scheduling, correspondence, guest relations and document management.· Handle phone calls, emails, and inquiries, ensuring timely and professional responses.· Organizes and participates in the management meetings, taking minutes of meetings and follow up on action items.· Maintains and organizes office supplies ensuring availability and proper stock levels· Coordinate meetings, appointments, and travel arrangements for team members.· Prepares the required business and status reports, presentations and other documents as needed.· Liaise with vendors, service providers, and internal departments to ensure efficient office operations.· Ensure compliance with company policies and procedures in all administrative activities and that all processed in harmony with the headquarter culture and P&Ps· Support the Facilities Management and other managers in the development of projects plans, schedules, budgets, progress reports etc.· Track project progress and submit reports on project status to stakeholders.· Coordinate with contractors, suppliers, and project team members to ensure timely delivery of materials and services.· Prepare and maintain project documentation, including contracts, permits, and compliance records.· Per the operational requirement, the employees may be deployed in any other city and may be assigned to a different department if and when required.
