Leads and provides support to organizational operations by maintaining office systems and supervising staff. This position ensures that the office runs smoothly and effectively by identifying office management improvements that lead to the efficiency of operations.
- Manages the office administration and ensures the smooth and effective overall operations of the office.
- Establishes and monitors office procedures, and coordinates schedules, appointments, and bookings.
- Ensures seamless cooperation within the department and provides continuous process improvements in controlling processes to offer cost-efficient services fulfilling business and statutory requirements.
- Maintains office efficiency by planning and implementing office systems, layouts, and equipment procurement.
- Allocation of available resources to enable successful task performance.
- Coordinates office staff activities to ensure maximum efficiency.
- Organizes orientation and training of new office staff.
- Proper coordination with our department and office staff.
- Establishes and monitors office procedures.
- Coordinates schedules, appointments, and bookings.
- Monitors and maintains office supply acquisitions.
- Manages internal staff relations
- Ensures security, integrity, and confidentiality of correspondence and information.
- Designs and implement an effective filing system.
- Ensures filing systems are maintained and current.
- Ensures to assign a staff to help organize appointments with the direct supervisor and give necessary advice/reminders on daily basis and ensure critical meetings are not missed.
- Ensures to collate data or prepare professional reports, memos or presentations as and when requested by the supervisor within the established time frame with minimal errors.
- Compiles data, prepares error-free reports or collates data for consideration and presentation by the supervisor as and when required within the set deadline.
- Prepares accurate and well-presented correspondence on daily basis.
- Ensures that required correspondence is submitted for signature/approval within one day from receipt of instruction.
- Prepare and submits all required reports in a timely manner.
