Full job descriptionJob Description:In this role, you will provide executive-level support, manage payroll, oversee office operations, and play a critical role in managing event contracts. You will be responsible for ensuring the smooth operation of weddings, events, and other projects, ensuring all contracts are executed correctly, and that the company complies with ADGM laws and regulations.Key responsibilities may include:· Executive Assistant duties:· Managing schedules and calendars of executives.· Coordinating meetings, appointments, and travel arrangements.· Handling correspondence, emails, and phone calls.· Preparing reports, presentations, and other documents.· Assisting with project management and daily operations.· Receptionist duties:· Greeting visitors and clients at the front desk.· Answering and directing phone calls.· Managing office supplies and ensuring a clean and organized reception area.· Handling inquiries and providing information to visitors.· Performing basic administrative tasks such as filing and data entry.· This dual role requires excellent organizational, communication, and multitasking skills to manage both executive support and customer-facing responsibilities effectively.Executive Assistance:Provide administrative support to the CEO, including managing calendars, scheduling meetings, and arranging travel.Prepare, review, and edit correspondence, reports, presentations, and event documents.Serve as the primary point of contact between the executive team, clients, and employees.Office Management:Oversee daily office operations, including supply management, coordinating office maintenance, and maintaining an organized, efficient workspace.Plan and execute events, meetings, and conferences.Manage office-related finances, including processing invoices and managing the office budget.Ensure compliance with ADGM business and legal regulations (visa & health insurance, permits)etc.Payroll Administration:HR and Staff Support:Manage and process payroll for all employees, ensuring compliance laws, tax regulations, and employee benefits.Maintain payroll records and coordinate with finance for the summary report.Event and Wedding Contract Management:Draft, review, and manage contracts for weddings and events, ensuring all terms and conditions are clearly outlined.Coordinate with clients to finalize event details and contract terms, ensuring mutual understanding and agreement.Track event milestones and deadlines, ensuring all contracts are signed and obligations are met on time.Collaborate with the third party or other vendor.Assist with employee onboarding, ensuring compliance with payroll, benefits, and ADGM regulations.Maintain accurate employee records, track attendance, vacation, and sick leave.HR-related tasks, including preparing documentation and managing employee files.Qualifications:Assisting customers by answering inquiries, resolving issues, providing information, and ensuring satisfaction. Key responsibilities include handling complaints, processing contracts, offering product details, and maintaining accurate records. Essential skills for this role are clear communication, problem-solving, empathy, patience, and technical proficiency.Proven experience as an executive assistant, office manager, with knowledge of event contract management, ideally in a creative studio or event planning setting.In-depth knowledge of ADGM labor laws, tax regulations, and business compliance standards.Experience drafting and managing contracts, particularly in the events or wedding industry, with attention to detail.Strong organizational skills with the ability to manage multiple tasks and priorities effectively.Excellent written and verbal communication skills.Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), payroll software, and financial management tools.Familiarity with payroll software, HR systems, and contract management tools.Ability to handle confidential payroll and employee information with discretion.Positive, proactive attitude with the ability to work well under pressure in a fast-paced environment.
